Approve and promote

Sign off a recipe, send it into Recipe Manager, approve many at once, and recall a promoted recipe.

A recipe goes live in two steps: a manager approves it, then promotes it into Recipe Manager.

Kitchen plan Promoting needs the Kitchen plan. Approving does not.

Who can do it

Approving, promoting and recalling need a Company Manager, Company Owner or Super-Admin. Managers below Company Manager only see Menu Items for the brands they are assigned to.

Approve a recipe

A recipe can be approved once every ingredient is matched or created as a new item.

  • In the editor: open stage 3 Approve & promote and click Approve recipe.
  • From the Recipes list: ⋯ > Approve on a fully matched draft.
  • Many at once: ⋯ > Approve all ([n]) at the top of the Recipes list. It approves every fully matched draft, sub recipes first.

Approval is a single sign-off. Promoting a dish also takes its draft sub recipes with it.

Promote a recipe

The Promote gate in the editor shows two checks: All ingredients resolved and Recipe approved, with a link to fix whichever is not done. A category is also required.

Then:

  • In the editor: click Approve & promote.
  • From the Recipes list: ⋯ > Promote on an approved recipe.
  • A whole brand: pick the brand, then ⋯ > Promote all approved on the Menu items lane.

You will see "[name] promoted to the main system."

Promoted dishes arrive switched off

A newly promoted Menu Item lands in Recipe Manager as Non-active. It does not appear on your menu until you give it an image, a description and a price, and set it to Active. See Put a dish live.

Estimated cost

The Promote gate shows an estimated cost, per serving when the yield is a number of portions, otherwise per batch. It tells you how many ingredients are priced. It is an estimate for quoting only; the real cost is worked out in Menu Manager from what you buy. It does not appear until at least one ingredient has a price.

Recipes sent from the chef app

A chef can send a recipe from their own space with Ready for approval. It appears in Engineering marked Waiting for approval, sent by [name], and Changed since sent if they edit it afterwards. Match its ingredients, then approve and promote it like any other recipe. It stays the chef's until you promote it.

Recall a promoted recipe

Made a mistake? On the Recipes list, choose ⋯ > Recall to Engineering on a promoted recipe. It goes back to Approved so you can edit it and promote again.

You can only recall a Menu Item that is still Non-active, or a sub recipe that no other recipe uses. If it is already live, set it to Non-active first, or change it in Recipe Manager, which keeps the old one as a previous .

To change a live recipe without recalling it, choose ⋯ > Duplicate to edit, make your changes and promote the copy as a new version.
