Sort and match

File each recipe as a dish or a sub recipe, then link every ingredient to your inventory, with automatic matches you can undo.

Open Engineering > Finish recipes. The progress strip at the top shows how many recipes are Matched, have Steps and are Saved. There are two tabs: Sort and Match.

Sort

Sort files each recipe as a dish you serve or a you make for other recipes.

One at a time

ChefAdmin shows one recipe and asks Where does this go?

  • A dish I serve: a .
  • Something I prep: a sub recipe.

It tells you how the recipe is currently filed; tap to confirm or change it. When every recipe is filed you will see All sorted.

The board

Click Show the board to see two lanes, Dishes and Preps (sub recipes). Drag cards between lanes, or use the ⋯ menu on a card to switch it. From the board you can also:

  • See What's inside a recipe.
  • Link a sub recipe into a line with Link sub…, or remove a link with unlink ×.
  • Open the steps for a recipe.

ChefAdmin works out the build order for you: sub recipes first, then the dishes that use them. It will not let you create a circular link.

Match

Match links every ingredient line to an item in your company inventory. This is what makes stock, allergens and costs add up. See .

Automatic matches

When you open Match, ChefAdmin links what it is confident about straight away:

  • Exact match: the same name as an item you already have.
  • Remembered: a name you matched before. ChefAdmin remembers every match you confirm, across your whole company.
  • Close match: a very similar name, when one candidate is clearly the best.
  • From a sub-recipe: a line that is made by a sub recipe.

Open Auto-matched to see the list. If one is wrong, click Undo. That line will never be matched to that item automatically again, and it moves to Dismissed for you to match by hand.

Less certain matches appear under Suggested. Click Accept on each one you agree with.

One at a time

For everything else, ChefAdmin shows one ingredient at a time and asks Is this the same thing?, with what you wrote beside what you already have:

ButtonWhat it does
Yes, same oneLinks the line to that item. Pick a closer one from the list first if needed.
No, it's newAdds it as a new ingredient. You can tidy the name first.
It's a prep I makeLinks the line to one of your sub recipes instead.

Click Show all to work through the whole list at once: tick several, then Apply selected to use the top suggestion for each, or Add all to add every new ingredient in one go.

New ingredients

A new ingredient is added to your shared marketlist with no supplier or price yet, marked as needing sourcing. It still counts as matched, so it does not hold up the recipe. Your purchasing team gives it a supplier and price in Procurement. See Inventory Manager.

Before adding, ChefAdmin checks for near duplicates. If it says You may already have this, choose the existing item or None of these, add as new. If it says the name looks like a sub recipe you make, link it to the sub recipe instead of buying it.

When everything is matched

You will see Everything matched. Skipped lines still need matching before those recipes can be approved; use Bring back the skipped to finish them.

Check your ingredients

Under Match, open Check your ingredients to tidy the catalogue: categories and units for every item, with needs sourcing and unused badges. suggests categories you can accept or dismiss. You can also move an item that you actually make into a new sub recipe.

Company inventory only grows when a person adds to it

Imports, Let me help and drafted sub recipes never add items to your company inventory on their own. A new ingredient only appears there when someone confirms it in Match.
